How to answer every missed call with AI

What an AI receptionist should do, what it should never do, and how to set one up without annoying your callers.

A missed call is often someone ready to buy. Voicemail rarely helps, because many people won't leave a message. An AI receptionist can pick up when you can't, and keep the conversation going.

What it should do

  • Greet the caller by your business name and say what it can help with.
  • Answer common questions from your real business details.
  • Take the caller's name and the best way to reach them.
  • Book an appointment, or pass the call to a person when it's urgent.
  • Save a summary to the contact, so you can follow up with context.

What it should never do

It shouldn't guess. If the answer isn't in your business details, a good agent says someone will get back to the caller, instead of inventing a price or a promise.

It shouldn't hide what it is either. Check the rules for your country and industry about AI calls, recording and consent before you switch it on.

Write better instructions

Most of the quality comes from the instructions. Keep them short and specific. Say what to ask, when to book and when to transfer. For example: "Ask what service they need and when they're free. If they ask for a person or it's urgent, transfer the call."

Test it before customers do

Talk to your agent yourself. Try the easy questions, then the awkward ones: a complaint, a question it can't answer, someone who talks over it. Adjust how long it waits and whether callers can interrupt it until the conversation feels natural.

Start after hours

If you're unsure, begin with calls you'd miss anyway, like evenings and busy periods. Read the summaries for a week. You'll see exactly what to improve before it handles more.
