5 follow-up automations every small business should run
Five simple workflows that stop leads from slipping away, and how to keep them from sounding like a robot.
Plenty of leads aren't lost because someone said no. They're lost because nobody followed up in time. You don't need a complicated system to fix that. These five automations cover most of the gaps.
1. New lead follow-up
When someone fills in a form, send a short reply right away, then create a task for your team. Fast and personal beats long and polished.
2. Missed call text-back
If you can't answer, send a text saying you saw the call and asking how you can help. It gives the caller a reason to wait for you instead of trying someone else.
3. Appointment reminders
Send a confirmation when someone books, and a reminder before the appointment. Include an easy way to reschedule, because a moved appointment is better than a missed one.
4. No-show recovery
When someone misses an appointment, send a friendly message with a link to book again. Keep it light. People miss things for ordinary reasons.
5. Review request
After a job goes well, ask for a review while the experience is fresh. Send it once, make it easy, and don't pressure anyone.
How to keep them human
- Write the way you speak. Read each message out loud before you turn it on.
- Use the person's name and what they asked about.
- Stop the automation as soon as someone replies.
- Always respect opt-outs.
Start with one
Don't build all five today. Turn on the one closest to your biggest leak, and watch it for a week. In OwnMyCRM, you can start from a template or ask the assistant to set it up for you.
